We are looking for a responsible and reliable person to join the team of the US Immigration Attorney who will be able to take on the functions of a communications manager, as well as unload the Attorney with routine business tasks.
Job category: Administrative Personnel
Full Time: 40 hours per week
Working Hours: 5AM - 2PM (Hawaii-Aleutian Time Zone, GMT -10)
Compensation: $1,000/month
Requirements:
Fluent English is a must (C-1);
Fluent Russian is a must (native);
Higher education, with specialization in law, communications or management (will consider similar fields);
5+ years of experience in project management or administrative position in the international company;
Ability to work with, systematize and analyze large amount of information;
Strong responsibility and attention to details;
Systematic approach;
Analytical mindset;
Knowledge of the rules of business etiquette, including business writing;
Knowledge of the basics of office work;
Must love working with people in a helpful spirit on a daily basis.
Knowledge of programs and management applications:
Microsoft Office (the whole package), strong knowledge of Microsoft Office tools;
Google Services: Gmail, Google Documents, Google Drive;
Experience working in an electronic archive (DropBox / Google Drive);
Experience in the ASANA CRM system;
Work experience in the working time tracker;
Zoom.
Job duties:
Maintain all communications via phone, email, SMS/WhatsApp/Telegram/Viber with company’s leads; respond to inquiries, offer and schedule consultations; record lead data, manage attorney’s calendar;
Timely updating of project statuses, competent archiving of customer data and supporting documentation;
Communicate with clients from intake to completion of the case: prepare engagement letters, collect documents and information for preparation of the case, interview clients to develop portions of their case, stay on top of clients to meet the schedule;
Communicate with third parties (contractors, service providers, witnesses) to obtain information or documents necessary to prepare a case;
Advise clients on status of their cases and respond to their inquiries; take notes in client management files, make status inquiries with the agency;
Manage clients’ folders: organize and deposit documents;
Coordinate activities with responsible staff member to enable work flow;
Work with different types of applications and case processing software:
CRM DocketWise (proprietary, will train), Asana, Calendly, Google Calendar, DropBox, Zoom, etc.
