We are an eco-friendly construction USA company looking to hire a hardworking, responsible and reliable Administrative Assistant to join our growing team.
An ideal candidate preferable to have construction background, so he/she could help technicians create estimates and quotes, assist clients over the phone.
Administrative Assistant executes schedules, greet and communicate with staff and maintain effective workflow in the office. Also, administrative coordinator may also take on many other duties regularly associated with office management, including filing, faxing, creating memos and reports, and performing other clerical duties.
This role requires individuals who possess active communication skills and are highly organized.
This is a 1099 position (independent contractor).
Responsibilities:
Support Estimators and Project Managers from the initial process through job completion.
Work with project managers to track execution of work plans, tracking deliverable dates and sending reminders to team members and subcontractors as appropriate
Create, prepare, and deliver reports to various departments
Schedule jobs and answer phone calls / emails.
Perform follow up calls with the clients.
Submit and reconcile expense reports.
Work with accounting departments to process invoices, make payments, and track receipts
Assist executive level with day to day operations
Requirements:
Strong time management skills, ability to manage multiple priorities while working in a fast-paced environment.
Strong computer skills & Comfort using the business email system
Highly organized and able to create an organized and easy-to-follow system for others
Familiarity with office equipment, such as fax machines, copy machines, and phone systems
Independently motivated, with the ability to take on tasks and duties without immediate direction
Prior scheduling experience.
Strong communication skills
Experience working in a construction office preferred
Spanish is a Plus, but not necessary.
Proficiency in MS Office, Gmail, Google Calendar, Quick Books
Job Types: Full-time, Part-time
Location: Work From office and flexibility to work Home if is productive.
